Party FAQ’s

Got a question?  We’ve answered some common queries people have below, however, please get in touch if it’s not covered and we’ll be more than happy to help.

 

Where are the parties held?

We provide in studio & mobile parties.

Selecting the best venue.

Whichever venue you choose, make sure it’s accessible and easy to find!

You could tie a bunch of balloons to the front gate or send out a map with directions along with the party invitation.

Please note as a minimum, we require enough space for the hosts and each guest to sit comfortably with adequate room for their cupcakes and decorating kit.

If you are having your party at home, we suggest using a large dining table, portable trestle tables and/or your kitchen bench.

*Please note tables are not supplied by Cake It Up, but can be hired for an additional small fee.

Do you service my area?

We host parties throughout Sydney, Sutherland Shire and Wollongong areas, with our head office based in the Sutherland Shire, south of Sydney.

We do not charge travel costs if you are located within 20 km from the Sutherland Shire, however beyond that a small travel fee may apply. Please call us on 0455 211 311 or email party@cakeitup.com.au if you would like a quote.

How many children can I invite?

We request a minimum of 10 guests per party.  We can host a party for less guests, but the minimum fee will still apply.

There is no maximum number of guests that can attend the party, however if you are having more than 21 guests, please call us on 0455 211 311 or email us party@cakeitup.com.au to discuss your specific requirements.

Are your parties only for girls?

No!  We definitely cater for both boys and girls at our parties.

Whilst we do not offer specific themed parties, we can work in with your party theme such as by providing matching fondant colours and shapes that related to the theme (if possible).

Can we invite adult guests?

Non-participating adult guests are more than welcome to observe their children having fun, however please note that we are sometimes limited for space, so it’s best that they are away from the main area of the party.

I’ve got my preferred dates, how do I book my party?

Be sure to book your party early to avoid disappointment as we can get booked out weeks in advance.

Payment.

We require a deposit payment to secure your booking, with the full amount payable 7 days prior to the party date. The due date will be indicated on the invoice.

Confirmation.

We will be in touch in the week before the party by email to confirm all the details and arrange final payment, however if there is anything you would like to discuss or change before then, simply call us on 0455 211 311 or email us party@cakeitup.com.au.

Cancellation policy.

If you provide 14 days or more notice of cancellation, you may apply your deposit to another available party date within the next two months without incurring any fees or penalty.

If you reschedule, there is a 20% fee added to the cost of the party.

If you cancel the party within 7 days of the party date then it is a 100% payment cancellation fee.

Checks & insurances.

Cake It Up is registered with the NSW Commission for Children & Young People and all our hosts have their Working with Children Checks. We are also fully insured $20 million public liability insurance.

What we include.

We include birthday party invitations for you to send to your guests (which we will send to you once we receive payment of the deposit).

We also include all cupcakes, supplies, kits, fondants & music used at the party.

What do I need to supply?

All you need to do is choose the venue and ensure there is appropriate space and equipment such as chairs, tables or a kitchen bench to seat all the guests – and we bring the party to you!

If you are planning on activities before and after the cupcake decorating event, you will need to organise and supply everything you need such as food/plates, drinks, birthday cake, arrange any decorations or music, extras, games or other entertainment you may choose to have at the party.

What do I need to do?

Plan ahead! Time flies so the best thing to do is start planning your party early so you can lock in the date with us and invite guests, family and friends.

What happens on the day?

The party hosts will arrive after the party has started to set up, approximately 15-30 mins prior to their scheduled facilitation.

We suggest you structure your party as follows:

  • Kids arrive/play/presents (timing of your choice)
  • Cake It Up hostesses arrive and set up (15 min prior to scheduled commencement of facilitation)
  • Cake It Up’s facilitation of cupcake decorating party (1.5 hours duration)
  • Kids eat/birthday cake – while hostesses pack up (guests back in responsibility of parent)
  • Other entertainment or party concludes

To commence the formal Cake It Up facilitation, we’ll gather the guests together and start with a welcome drink to get party started.

How many cupcakes does each party guest get to decorate?

Each guest will receive 6 freshly baked individual cupcakes to decorate on the day and take home after the party.

What flavour are the cupcakes that guests decorate?

Vanilla flavoured cupcakes.

Do you cater for party guest with allergies or gluten free?

We can cater for party guests with certain allergies, please speak to Nicole for further details.  Please note additional charges will apply to cover the cost of speciality baking.

*Also, as a safety precaution, please make sure you ask for emergency contact details for any guest that suffers from allergies.

What do the party guests use to decorate the cupcakes?

Each party guest has the use of their own individual decorating tool kit for the day.   They will use frosting and 4 different coloured fondant icings of your choice supplied by us.

Guests also get to choose from hundreds of fondant cutters and embossed rolling pins that will give their cupcake that extra unique creative touch!

What to wear?

Tops with short sleeves or sleeves that can be pushed up are helpful to avoid any fondant that may wander whilst decorating.

Who helps the party guests decorate their cupcakes?

Each party has a minimum of 2 hostesses so no party guest will be left out or fall behind.

Our experienced hostess will instruct and guide the guests on techniques and tips to follow in order to create their own personalised decorated cupcake.

How do the party guests take their cupcakes home?

At the end of the party, we will provide each guest with a special window cupcake box so they can safely transport their decorated cupcakes home in style and show off their masterpiece to family and friends!

How do I store the cupcakes and how long do they last?

You can store them in an airtight container, at room temperature, for up to 3-4 days.

We welcome feedback, good or bad, and take it very seriously.

We admit that we are human and are not perfect but we sure try damn hard to be!

We send out feedback surveys after every event, so as soon as we become aware of your concerns, we’ll be proactive at resolving them as soon as possible.

By all means you can post up your feedback on various social media sites but we do like to resolve bad experiences first and try our hardest to resolve every single issue to the best of our ability. No joke.

Are your parties just for kids?

No way!  In fact, we sometimes wonder who gets a bigger kick out of playing with frosting and decorating cupcakes…!
