Party FAQ’s

Got a question?  We’ve answered some common queries people have below, however, please get in touch if it’s not covered and we’ll be more than happy to help.

Where are the parties held?

At our studio in Jannali, Sutherland Shire NSW.

Selecting the best party for you.

Our parties cater for all age groups, but some parties do have an age minimum on them, so please check the information in the PDF listed under each party.

Do you service my area?

For now, Cake It Up only host parties in our Sutherland Shire Studio.

How many children can I invite?

We charge a minimum of 10 guests per party.  We can host a party for less guests, but the minimum fee will still apply.

We have a comfortable maximum of 20 guests that can attend the party, however we can squish up to 25 kids if necessary.

Are your parties only for girls?

No definitely not, our parties are curated so they are NOT gender specific, we cater for both boys and girls at our parties.

Whilst we do not offer specific themed parties, we do not mind if you would like to bring some balloons or decorations to decorate our studio.

Can guest parents stay or do they need to drop & go?

Non-participating adult guests are more than welcome to observe their children having fun, however, we do encourage “drop and go” as we’re a studio space and can only invite the parents of our birthday child inside as we have limited for space inside only being a studio space.

Parents of the birthday child are welcome to stay inside our studio, or go in and out as you please to take photos and also mingle with guests outside our studio.

We do have a table with 4 stools out the front of our studio so if parents of party guests wish to stay, they are very welcome to sit out the front of our studio and watch through our window.

We are located at the rear of an arcade, there is a coffee shop at the front of arcade that is open until 2pm every day, parents can grab a coffee and sit in the coffee shop for the duration of the party, or bring their coffee back and sit out the front of our studio.

There are other coffee shops in the main street (Box Road) and also the Union Hotel located 200 meters walk from our location, plenty of options if parents with to stay.

I’ve got my preferred dates, how do I book my party?

Be sure to book your party early to avoid disappointment as we can get booked out weeks, often months in advance. You can book instantly online by by clicking the “Book Now” button at the bottom of this page.

You can download your invitation direct from our parties page (PDF invitation listed directly under each party listing on our parties page.

Payment.

We require a $100 deposit payment to secure your booking, this will be done at the time of your booking when booking online.

Please kindly note we charge a $55 surcharge for Sunday parties as we adhere to Industrial Relations laws and pay our staff penalty rates for working this day.

Final payment is due 2 days prior to your party, but this will be done once we’ve corresponded by confirming final numbers closer to your party. We will then send you a final invoice once everything has been confirmed.

Confirming final numbers.

We will be in touch 5-7 days prior to your party (via SMS or email). We will need to know about any guests who have food intolerances, we can cater for food intolerances, but not food allergies. Children with food allergies are welcome, please email us to find out how we cater for this.

Children with anaphylaxis are welcome, we just need to speak directly with their parent beforehand, and also upon drop off to site their Epi-Pen and receive any further instructions.

Cancellation policy.

If you provide 14 days or more notice of cancellation, you may apply your deposit to another available party date within the next two months without incurring any fees or penalty.

If you reschedule, there is a 20% fee added to the cost of the party.

If you cancel the party within 7 days of the party date then it is a 100% payment cancellation fee.

Checks & insurances.

Cake It Up is registered with the NSW Commission for Children & Young People and all our hosts have their Working with Children Checks. We are also fully insured $20 million public liability insurance.

What we include.

We include birthday party invitations for you to send to your guests which you can download direct from our parties page on our website (a PDF listed under each party in aqua writing).

We also include all cupcakes, decorating kits for use on the day, hot food, snack food & music & entertainment.

What do I need to supply?

All you need to bring is your selves, if you’re bringing your own cake you will need to bring your own bowls, spoons & candles, we will cut & serve your cake (we will provide the knife and lighter).

If you choose our Ice-cream cake as an add on, we will provide bowls, spoons & candles.

If you would like to bring party bags, we suggest you bring party bags with a mix of items ie, stationery, notepads, make up items as well as some lollies, we suggest a mix as guests will be taking home sweet foods such as cupcakes or donuts so something other than all sweet is a good option for your party bags.

What do I need to do?

Plan ahead! Time flies so the best thing to do is start planning your party early so you can lock in the date with us and invite guests, family and friends.

What happens on the day?

We ask you write the start time as “sharp” on your invitation. We do allow a 5 minute late window for guests who are running late.

We have a 30 minute break between each party time slot, so we’re often saying goodbye to our previous guests, cleaning up the last party and setting up your party during this time, please be patient with us if your party starts a few minutes late, we will still get everything done in your 2 hour allocated time slot.

Here is our party structure we use on the day:

  • We ask our birthday childs family to arrive 15 minutes prior to your party so we can meet, chat about the schedule, take any party bags and cake inside and answer any last minute questions you may have
  • We have a table and chairs out the front of our studio with plenty of pop-its & puzzles to keep guests entertained until they’re invited inside once everyone arrives
  • We chat to the children outside the studio before we bring them inside
  • decorating activity will take approx 1.5 hours (you cannot rush creativity)!
  • the remaining 30 minutes we serve the hot food, snack food, sing happy birthday, cut & serve the cake, then we play limbo to finish of the party & hand out party bags on the way out of the studio.
How many cupcakes does each party guest get to decorate?

Depending on the activity you have chosen, if it’s a cupcake party each guest will receive 6 freshly baked individual cupcakes to decorate on the day and take home in a cupcake window box.

If you’ve chosen a donut party, each guest decorates 3 donuts each and will also make milkshake to drink in studio or can take home with them if they don’t finish it all.

What flavour are the cupcakes that guests decorate?

Vanilla flavoured cupcakes.

Do you cater for party guest with allergies or gluten free?

We can cater for party guests with food intolerances & food allergies, please speak to Nicole for further details.  Please note additional charges will apply to cover the cost of specialty baking.

*Also, as a safety precaution, please make sure you ask for emergency contact details for any guest that suffers from allergies.

What do the party guests use to decorate the cupcakes?

Each party guest has the use of their own individual decorating tool kit for the day. You will use lots of different coloured fondant to cover your cupcakes or donuts.

Guests also get to choose from hundreds of fondant cutters and embossed rolling pins that will give their cupcake that extra unique creative touch!

What to wear?

Tops with short sleeves or sleeves that can be pushed up are helpful to avoid any fondant that may wander whilst decorating.

Who helps the party guests decorate their cupcakes?

Each party has a minimum of 1 if not 2 hostesses so no party guest will be left out or fall behind.

Our experienced hostess will instruct and guide the guests on techniques and tips to follow in order to create their own personalised decorated cupcake.

How do the party guests take their cupcakes home?

At the end of the party, we will provide each guest with a special window cupcake box so they can safely transport their decorated cupcakes home in style and show off their masterpiece to family and friends!

How do I store the cupcakes and how long do they last?

You can store them in an airtight container, at room temperature, for up to 3-4 days (if they last that long)!

We welcome feedback, good or bad, and take it very seriously.

We admit that we are human and are not perfect but we sure try damn hard to be!

Are your parties just for kids?

No way!  In fact, we sometimes wonder who gets a bigger kick out of playing with frosting and decorating cupcakes…!
